Job Title: Special Events Coordinator
Reports to: Chief Operating Officer
Position Summary:
In conjunction with the Chief Operating Officer, The Special Events Coordinator will be the leader in the design, plan, and execution of WheatonArts public and partnership events. The Event Coordinator will assist the Development Department on all Fundraising and Membership events. The Special Events Coordinator will be the point of contact and coordinator for all outside rentals of WheatonArts facilities with a goal to more fully utilize WheatonArts campus to enhance earned income.

Duties and Responsibilities


Primary Relationships:
This position reports to the Chief Operating Officer (COO) but works closely with the Special Projects Coordinator, the assistant to the COO, the Development Department, the Plant Facilities’ Manager and Technology Director in the planning, marketing, and execution of special events and outside rentals of WheatonArts campus.

Primary Duties/Responsibilities:
Responsible to coordinate the planning, development and implementation of the Organization’s Special Events including working with the marketing team to develop marketing strategies and marketing communications, and participating in public relations activities, both external and internal.
With COO, develop short and long term plans and budgets for special events and monitor progress, and evaluate performance of these events
Manage and oversee events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing take-down.
In all Event and Rental communications, ensure articulation of Organization’s desired image and position. Assure communication of WheatonArts image and position to all constituencies, both internal and external.
Act as the initial point of contact for outside rentals, give tours to potential rental guests, and provide input on rental program development, promotional materials and advertising.
Research potential partners, vendors, artists and participants to enhance current Special Events, potential new events and/or facility rentals



Requirements

Job Requirements:
1-3 Years’ experience in event planning.
Excellent customer service skills
Team Management experience
Knowledge of MS Office, Google Suite Applications and Adobe Creative Suite
Familiarity with Smart Draw and/or SalesForce, a plus.
Bilingual a plus.
