The Development Associate is responsible for gift processing and related support. This position is a vital member of the team, ensuring a high level of accuracy in database management, timely gift entry, and administrative/event support. The Associate supports the Development Department through the timely production and analysis of pertinent donor data, processing and acknowledgment of gifts, and developing comprehensive research on current and potential gift prospects. Particular emphasis is placed on accuracy, timeliness and the ability to work under tight deadlines. In addition, because the Orchestra is migrating to an integrated Marketing and Development database system, the Associate will be working closely with the CRM migration team to make a seamless transition to the new system.
Duties and ResponsibilitiesCORE RESPONSIBILITIES
Process all donations and issue acknowledgements/tax receipts. Organize and scan daily gift batches. Update donor records with accurate contact information, membership level, recognition preferences. Implement systematic improvements to data tracking and reporting.
Perform administrative and follow-up activities regarding gift documentation.
Follow up on outstanding gift collections.
Assist the Patron Services Manager with the migration and adaptation to the new Tessitura CRM system (cross-departmental database integration program)
While in this transition state, focus on cleaning the existing Raiser’s Edge database through systematic data/table maintenance & record de-duplication.
Serve as the main Development contact to Finance for the ongoing gift entry and reconciliation processes, reporting and other coordinated projects.
Execute data outputs on a daily/weekly/annual schedule for both internal (analysis/reports) and external (mailing lists, calling lists, etc.) purposes
Deliver outputs in a timely manner and be consistent with the agreed strategy and priorities of the Development Department.
Maintain compliance with IRS and NJSO record maintenance standards.
Monitor privacy laws, to ensure the organization is in compliance and act as the key liaison for the Development Department on data privacy issues.
Monitor and adapt departmental policies and procedures to ensure efficient processing of the data while maintaining the required security level.
Identify, extract and otherwise compile data in order to facilitate the department’s generation of donor research profiles Development.
Support the Vice President of Development and CEO with scheduling donor meetings, calendar management and entering meeting notes into Raiser’s Edge.
Maintain filing of donor documents.
Assist with donor mailings.
Other duties as assigned.
Excellent computer skills, including knowledge of Microsoft Office suite with proficiency in Excel and Word.
Demonstrated ability to facilitate communication regarding finance, budgeting and information technology, resulting in thorough and inclusive planning and execution processes.
Strong interpersonal skills in order to work collaboratively within the organization as well as with external partners.
Ability to multi-task effectively, including having good planning and organizing skills and ability to work under pressure.

The discipline to work independently, but also the ability to function as a member of a development team
Bachelor’s degree and a minimum of two years of experience or equivalent combination of education/training and experience in a fundraising environment.
Deep technical understanding of database software. Knowledge of Tessitura, Raiser’s Edge and/or other donor tracking systems preferred.
Experience developing protocols for gift reporting and gift acceptance.
Sound understanding of financial principles.
Must be authorized to work in the US without sponsorship.
Hours: Full time, Monday through Friday. Additional evenings and weekends may be required, specifically for working at concerts and events in multiple locations throughout northern and central New Jersey when the NJSO’s in-person events resume.
