Mayo Performing Arts Center is seeking a full-time Development Associate to support fundraising and membership efforts. The role requires experience with database management, data entry, list extraction, and Excel. Responsibilities include maintaining CRM (Tessitura) data integrity, managing online giving, financial reporting for donations, grants and events, and providing reporting and analysis. The Associate also supports donor cultivation and stewardship, membership growth, and key operational processes. Attendance at select evening meetings and evening/weekend events, including the Starlight Ball, Spring Fundraiser, and Chairman’s Reception, is required.

Duties and Responsibilities

Database Management
Create and maintain annual Tessitura database structures, including Campaigns, Funds, Appeals, Memberships, Sources, Benefits, Promo Codes, and Pricing.
Develop and maintain Tessitura Analytics dashboards and reports supporting fundraising, membership, board giving, donor trends, and departmental planning.
Prepare giving histories, prospect profiles, donor recognition lists, invitation/mailing lists, and analytical materials for leadership, Board members, committees, and events.
Conduct prospect research and wealth screenings using iWave.
Maintain accurate, consistent constituent records and oversee the Development Assistant's database responsibilities.
Serve as primary administrator for Development functions in Tessitura, iWave, Kindsight, OneCause, and other software systems.
Create and maintain online giving campaigns and donation pages in collaboration with Marketing.
Manage membership auto-renewals, including reporting, communications, and pledge billing.
Assist with matching gift tracking and confirmation.
Develop database procedures and workflow improvements to strengthen efficiency and data integrity.
Administrative & Department Support
Coordinate Development Committee meetings, including agendas, minutes, materials, and communications.
Participate in the Tessitura Super Users Group, supporting system upgrades, testing, and process improvements.
Design internal and external assets, including emails and signage, supporting cohesive branding for fundraising, membership, and promotional campaigns.
Provide guidance and oversight to the Development Assistant in database management, gift processing, acknowledgements, and departmental workflows.
Financial Administration
Assist the Development Director and VP & Chief Philanthropy Officer with budget tracking and expense monitoring.
Reconcile revenue and expenses with Finance leadership and maintain accurate departmental financial records.
Prepare weekly, monthly, and annual fundraising reports, reconciliations, and deposits.
Process and enter gifts received through checks, DAFs, matching gifts, credit cards, stock, and other sources.
Membership Operations
Develop membership campaigns, promotions, and engagement initiatives under the direction of the Sr. Manager of Membership & Special Events.
Generate membership recognition lists, status reports, renewal/lapsed lists, attendance reports, and other requested reports.
Support membership inquiries, processing, cultivation, stewardship, and moves management for Basic Level members ($50–$750).
Follow up with members regarding renewals and lapsed memberships, communicate benefits, and identify upgrade opportunities.
Manage the Membership Discount Program.
Plan, design, coordinate, and distribute the quarterly membership newsletter (The MPAC Memo).
Silent & Online Auctions
Serve as database and OneCause administrator for the Starlight Ball and Holiday Online Auction.
Manage guest records, bidder information, seating assignments, constituent imports, event setup, check-in, checkout, and auction operations.
Serve as primary liaison with OneCause and manage auction website content, including home page, auction listings, donation buttons, and related features.
Solicit and manage auction items, including donor communications, tracking, acknowledgements, mailings, photography, descriptions, bid increments, and packages.
Coordinate online holiday auction setup, catalog development, item pickup, and financial reconciliation.
Reconcile auction revenue and expenses with Tessitura and the Finance Department.
Assist with committee planning and event logistics.

Requirements

Qualifications & Requirements:

• Bachelor’s degree and 4+ years of experience in development, fundraising operations, database management, nonprofit administration, or a related field.
• Experience managing fundraising databases and CRM systems; proficiency with Tessitura or similar donor management platforms preferred.
• Strong analytical skills with the ability to create reports, interpret data, identify trends, and support fundraising strategy.
• Experience with gift processing, reconciliation, donor records, membership systems, and financial reporting.
• Excellent organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
• Strong written and verbal communication skills with the ability to interact professionally with donors, board members, staff, and external partners.
• Proficiency with Microsoft Office Suite, Canva, prospect research tools, and email marketing platforms such as WordFly or similar CRM/communications tools.
• Experience with online fundraising platforms, event management software, and auction systems preferred.

How To Apply

Salary Range Commensurate with Experience: $50,000-$55,000 Full-time employees are eligible for health, dental, vision, FSA, and 403b retirement benefits.
