POSITION: Exhibitions Coordinator

This position reports to the Director of Exhibitions and supports all aspects of exhibition planning and implementation.

POSITION TYPE: Full time (40 hours/week), nonexempt. Some evenings and weekends are required.

PAY: $39,000-41,000 annually based on experience

Duties and Responsibilities

PRIMARY AREAS OF RESPONSIBILITY

Act as project manager for all exhibitions:

Create and maintain on-going exhibition calendar; develop project timelines and monitor deadlines for each exhibition; coordinate exhibition planning meetings

Schedule and coordinate exhibitions including members and students’ exhibitions, which take place on and offsite

Monitor annual curatorial budget and expenses; generate purchase orders

Create contracts for artists, designers, curators, writers, and other consultants

Manage information for printed exhibition materials, press releases, and website; order exhibition signage; produce wall labels; design and order postcards for members’ exhibitions

Organize checklists and lender information; produce loan agreements, incoming/outgoing receipts, insurance forms, and condition reports; manage incoming and outgoing shipping; coordinate and assist with installation and de-installation; perform condition reporting

Oversee gallery monitoring, environmental controls, lighting, and maintenance with customer relations and operations staff

Oversee exhibition preparation and storage areas; maintain display furnishings and electronic equipment



ADDITIONAL RESPONSIBILITIES

Coordinate installation photography with contract photographer; manage exhibition files; maintain exhibition archives

Respond to exhibition inquiries; manage curatorial mailing list and catalogue mailings

Monitor and replenish exhibition and office supplies

Recruit, interview, and supervise interns; plan and create projects for interns

Coordinate artwork intake, packing, installation, and documentation for annual gala

Other duties as assigned

Requirements

QUALIFICATIONS

This position requires strong project management skills: the ability to work well under pressure in a deadline-driven environment, to establish priorities, and to manage multiple projects concurrently. The successful candidate will possess superior organizational skills, strong attention to detail, and a high level of accuracy. Excellent communication skills—written, verbal, and interpersonal—are necessary, as is the ability to work both independently or with a small team. Must be able to interact effectively with museum trustees, artists, arts professionals, and the public. Strong commitment to advancing diversity and inclusion. Proficiency in Word, Excel, and Outlook required; working knowledge of Adobe Creative Suite a plus.



EDUCATION AND EXPERIENCE

Bachelor’s degree in art history, museum studies, visual arts, or equivalent experience is required. Two years of museum, gallery, or similar non-profit experience is strongly preferred. Must have a strong interest in contemporary art and an understanding of or willingness to learn museum standards and practices.



PHYSICAL DEMANDS

This position entails use of a computer and telephone. It also requires climbing stairs, occasional use of ladders, and the ability to lift objects up to 30 pounds.



WORK ENVIRONMENT

The position is indoors in an office environment. The position allows flexibility for 20% of the time working from home. During exhibition installation and de-installation, this position is required to be 100% on-site. This position also supports evening and weekend events.
