The Development Associate is responsible for managing and tracking the funding received via donations, grants, special events, and membership by the Art Center. They assist the Director of Development in developing and implementing fundraising strategies, annual appeal solicitations, special events including the annual spring gala, and membership engagement and renewals. The position requires managing and developing relationships with the people associated with executing those responsibilities.

Duties and Responsibilities

Donations
• Assist Director of Development in creating fundraising campaigns
• Provide organizational support for campaigns
• Oversee and implement gift processing, tracking, and acknowledgments
• Reconcile funding received and processed with accounting department monthly
• Update donor wall annually

Donor Database
• Update and maintain all donor records and gifts in Bloomerang database
• Create reports in Bloomerang as needed for campaign strategies and fundraising tracking
• Create and update form letters and emails

Annual Appeal
• Manage all aspects of the annual appeal solicitations
• Coordinate annual mailing with mail house and printer
• Personalize annual appeal letters for top donors

Special Events
• Manage and assist with all special events including exhibition openings, art to table dinners, road trips, and the annual spring gala
• Track all income and expenses for events by creating and maintaining event budget spreadsheets
• Solicit and track sponsorships and acknowledge pledges in writing as they are made
• Organize and work with Communications Manager in the creation of all printed materials for special events including postcards, invitations, and programs
• Manage all special event mailings
• Organize staff and volunteer positions at events
• For events with an art auction element, track all art, manage relationships with artists, and oversee silent auction software and/or needs of auctioneer

Grants
• Track all grant applications, decisions, and reports in the master grant spreadsheet
• Function as project manager for the various inputs to grant applications and reports
• Manage all upcoming deadlines

Membership
• Supervise membership volunteer who mails membership cards, pulls membership lists, mails renewal letters, tracks data for membership analysis, and maintains membership databases (Bloomerang and Lumens)
• Provide customer service to members for membership registration, fulfillment, complaints, questions, refunds, upgrades, and ordering personal gifts for high level members
• Track and order membership supplies, as needed

Administrative Support
• General administrative support including, but not limited to:
o Assist Director of Development with correspondence for donors, board, and consultants
o Assist Director of Development in scheduling and meeting logistics
o Handle purchase orders for Development
o Reconcile Director of Development’s credit card statements each month
o Track and order Development-specific supplies as needed
o Write Development portion of the board report, and format consolidated Development and Communications section of the board report
o Hand address and send monthly postcard to new homeowners

Requirements

Minimum Qualifications
• Bachelor’s degree
• At least three years of work experience in Development or similar area involving project management with both writing and financial components
• Excellent written and verbal communication skills
• Attention to detail
• Ability to work on a wide variety of projects simultaneously
• Ability to build strong working relationships both internally and externally

Physical and Mental Demands
• The position frequently requires mental demands of reading/writing, interpreting data, supervising employees, making decisions, and problem solving. This position requires frequent use of the computer and telephone.

Work Environment:
• The position is frequently indoors in an office environment. This position allows flexibility for 20% of time (1 day in a 5-day work week) working from home.
