HAM is seeking a customer-focused Visitor Services Coordinator to enhance the visitor experience. This role is pivotal in ensuring exceptional service to museum guests while supporting the day-to-day operations of the front desk and related areas. The ideal candidate is a proactive, friendly professional who can engage with diverse audiences, manage a small team of part-time staff and volunteers, and represent the museum’s mission with enthusiasm.

Duties and Responsibilities

Visitor Engagement:
• Greet all museum visitors warmly and provide a welcoming first impression.
• Be knowledgeable about the museum’s activities; answer visitor inquiries related to exhibitions, classes, programs, membership, and other museum services.
• Answer phone inquiries and direct calls to appropriate staff.
• Manage admissions and lobby gift shop sales.
• Contribute to brainstorming and implementing strategies for enhancing the overall visitor experience.
Membership and Development Support:
• Manage membership enrollments and renewals.
• Print thank you letters and keep track of their status.
Operational Oversight:
• Supervise part-time visitor services staff or volunteers, providing training and scheduling.
• Ensure the smooth functioning of the front desk, including maintaining an organized and professional space.
• Ensure first floor public spaces are tidy.
• Oversee gathering and storage of admissions data.
• Manage lobby shop, including scheduling pickups and drop-offs, recording inventory, completing paperwork, and creating displays.
• Check exhibition galleries upon arrival and at closing, turn on/off technology within exhibitions.
• Schedule building services
Volunteer Support:
• Review volunteer applications and interview applicants.
• Schedule and train volunteers
Process mailings:
• Oversee volunteer mailing crew, manage paperwork, deliver to post office.
Other tasks as needed.

Requirements

Qualifications:
• Strong interpersonal and communication skills with a passion for engaging with people of all ages and backgrounds.
• Bachelor's degree or equivalent experience.
• 2+ years of experience in customer service, hospitality or a museum/arts organization or the equivalent. Previous supervisory experience is a plus.
• Proficiency in using basic office programs (Word, Excel, etc.). Knowledge of a donor database is a plus.
• Organizational skills and the ability to multitask in a fast-paced, visitor-centered environment.
• Familiarity with contemporary art is a plus.
• Availability for occasional special events.
