In collaboration with the Company Manager and Assistant Company Manager, our Company Management Assistants provide vital support to visiting artists, ensuring seamless operations and exceptional experiences for our visiting artists. Duties include assisting with travel and errands, maintaining artist housing, supporting various events across the organization, and more. Duties and Responsibilities

LOCATION & SCHEDULE: This is an in-person position reporting to our administrative offices and theaters located at 91 University Place in Princeton, NJ. Schedule will include nights, weekends, and some holidays, as scheduled in advance. Weekly schedule can average around 40 hours dependent on production needs and availability.

START DATE: This position will be filled as early as possible, with work available through at least June 21st, 2025 (varied schedule, mainly weeknights and weekends).

Essential Functions & Duties:
• Assist in coordinating and executing local ground travel for artists and grocery runs for Theatre Series company.
• Prep and maintain McCarter housing for visiting artists, including purchasing supplies and
coordinating cleaning services.
• Coordinate ticket requests for Theatre Series design and creative team in collaboration with Patron Services.
• Run errands as required for the Theatre Series company and Presented Events artists.
• Assist in the preparation and execution of welcome and onboarding materials for theatre visiting artists and stage managers.
• Provide day-of support for hospitality needs for Presented Events.
• Collaborate on and support staff-wide wellness events, social gatherings, celebrations, and all-staff projects.
• Prioritize safe working practices while embodying McCarter's safety and code of conduct policies to maintain a secure environment for all staff and guest artists.
• Participate in the work to make McCarter an anti-racist theater. Actively seek ways to improve our work practices to make the Production department more equitable and inclusive, while upholding and exhibiting our stated values of “justice and joy, beauty and belonging.”

Work Environment:
• Valid US driver’s license; must be comfortable driving a 15-passenger van in various weather conditions including heavy rain and snow.

• In-person work will primarily be completed in a shared office space at 91 University Pl, Princeton, NJ with HVAC cooling/heating, as well as various rented apartments units for artist housing.
• This position requires you to be on-site and in attendance at various performances and events. These will be communicated and scheduled in advance.
• This position entails extended periods of sitting, manual dexterity for operating office equipment, and the ability to read and interpret documents, engaging in repetitive tasks, standing, walking, bending, and reaching within the office environment, as well as lifting with or without assistance up to 50 pounds.
• Employees may be asked to use a personal cell phone in order to access authenticator apps and related software necessary for work credentials/multi-factor authentication (MFA). Applicants should be comfortable using their personal devices for these purposes as part of their job responsibilities, as workarounds cannot be guaranteed in order to access certain platforms.

Requirements

Qualifications:
• Demonstrated proficiency using standard software and web-based applications, including
Microsoft Word, Excel, and Outlook.
• Able to prioritize and manage multiple projects; maintain confidential information with discretion; and exercise good judgement in heightened situations.
• Exceptional diplomacy, interpersonal, and teamwork skills; a proven track record of building and nurturing relationships with customers and colleagues alike
• Ability to thrive in fast-paced environments, and maintain composure while making swift decisions and solving problems, all with a sense of humor
• Dedication to providing superior customer service, with a warm and welcoming demeanor that
fosters a positive experience for all artists and guests
• A collaborative mindset, with the ability to work harmoniously with individuals from diverse
backgrounds, personalities, and work styles, always approaching challenges with optimism, civility, and a solutions-oriented approach.
• Final candidates must successfully complete a background screening with a motor vehicle record check

Preferred Qualifications:
• Knowledge of Tessitura and/or ArtsVision systems.
• Experience working as a stage or events manager
• Working knowledge of the AEA, SDC, USA, and LORT
• The ideal candidate will embody an enthusiasm for the performing arts, with particular interest in supporting and elevating the work of global artists across many disciplines
