Organizational Overview
Appel Farm Arts & Music Center, a $2.5M non-profit arts and arts education organization located in Elmer, NJ, seeks a part-time Advancement Associate (AA): Individual Giving and Special Events to manage individual giving campaigns (40%), coordinate special giving projects (25%), procure corporate sponsorships (25%) and assist with grant management (10%, as time allows). Additional duties include public relations and marketing to donors.


Position Description
This 32 hour, 4 days a week position works closely with the ELA to grow the advancement activities and department of Appel Farm Arts & Music Center following the strategic plan, budget and goals of the programming and operations departments.

Duties and Responsibilities

Primary Responsibilities


Individual Giving: (40% of time)

- Coordinate giving campaigns in conjunction with ELA including the spring facilities appeal, the summer LYBUNT and Make It Do campaigns, the fall annual appeal, and Giving Tuesday campaign.
- Maintain customer relations management program: Little Green Light and other data driven programs.
- Document donations, produce and send thank you correspondence, and conduct phone calls to maintain networks.
- Assist ELA in refining donor levels included but not limited to one-time and recurring giving, Sunflower Circle giving, donor advised fund giving, legacy giving and endowment giving.
- Research employee resource groups determining best outreach to achieve goals.
- Evaluate individual donor giving to make recommendations as to communication approaches and yearly financial goals.


Special Giving Project Management: (25% of time)

- Coordinate special events such as art sales and auctions, “Welcome Walk” inscribed brick campaign, galas as determined by the Executive Leadership Team.
- Network with donors and patrons at spring SJ ArtsFest, Fall Festival and other events.


Sponsorship Management: (25% of time)

- Work with ELA to evaluate and refine funding levels for corporate sponsorships.
- Assist with securing corporate sponsorships through phone, zoom meetings and in-person meetings.
- Procure ads for Festival program books.


Grant Management: (10% as time warrants)

- Research foundation, corporate and governmental opportunities making recommendations of viability and sustainability of said grants.
- Assist ELA in generating proposals by creating grant budgets and narratives based on programmatic and operational goals.
- Assist in creating mid-year and year end reports in conjunction with ELA, and the programming and operations departments.


Public Relations:

- Produce department emails and social media posts announcing grant awards, check awards, mid-project success, and final outputs, client interviews etc.
- Create an annual impact report, in conjunction with ELT.
- Assist with refinement of corporate sponsorship materials and employee resource materials with consultation of ELT.
- Assist with creation of the bi-annual board presentation in relationship to funding.


Professional Development:

- Determine interpersonal and skill-based professional goals with annual benchmarks that correspond with organizational strategic plans and priorities.
- Must participate in bi-annual review, professional development discussion in reference to job, salary and advancement of the company (Oct-wrap up and new year, March-mid year)
- Attend funder/corporate meetings, chamber of commerce meetings and other development-related meetings as requested to support vision and goals of the organization.


Secondary Responsibilities

Additional duties:

- Assist ELT with special projects/activities from time to time as requested.

Requirements

Qualifications of potential candidate

- Experience in communicating/networking with people of all ages, and backgrounds.
- Commitment to handling sensitive information with discretion and integrity, a must.
- Enjoys working with teams while also working independently to achieve goals and following deadlines.
- Ability to manage multiple responsibilities, meet deadlines, and prioritize tasks effectively, using tools and systems that work best for you within an environment that can be fast-paced several times a year.
- Basic understanding of customer relationship management programs. Experience with Little Green Light a plus, will train.
- Experience with various payment portals including Square and credit card processing, a plus, will train.
- Experience with Apple, Mac, and Microsoft platforms (Word, Excel, Powerpoint and Canva). Appel Farm supports the use of assistive technology and accessible workflows.

Special Requirements

- Background checks are conducted in accordance with applicable laws for the safety of staff and on-site school. -- Must pass a background check (Appel Farm will conduct)
- Must be able to travel to occasional off-site events, meetings or conferences, with or without reasonable accommodations
- Potential to work from home two days a week after a 60-day in office acclimation.

Salary, Benefits, and Terms of Employment - Annual Salary of $38,000 - 32 hours per week, with schedule adjustment when required to be available for special events - Occasional weekend and evening hours are required for specific meetings and events and are determined in advance whenever possible. - During during the 60-day introductory period, the candidate will need to be onsite to get to know the staff, tour the facilities, review records, and learn more about the programming, operations and advancement departments. After the intro period, opportunities for partially working from home can be discussed.
