McCarter Theatre Center is seeking a highly organized, service-oriented Interim Assistant Company Manager to support the care, coordination, and day-to-day experience of visiting artists across our Theatre Series productions and Presented Events. Working closely with the Interim Company Manager, this role plays a vital part in ensuring smooth logistics, thoughtful hospitality, and responsive administrative support that allow artists to focus fully on their work. From coordinating travel and housing to supporting artist onboarding and event logistics, the Interim Assistant Company Manager serves as a key point of connection across departments, helping to create a welcoming, well-run, and artist-centered environment.

Duties and Responsibilities

ESSENTIAL FUNCTIONS & DUTIES

· Assist in coordinating and executing local ground travel for artists and grocery runs for the Theatre Series company, ensuring timely transportation and provision of necessary supplies.

· Prep and maintain McCarter housing for visiting artists, including purchasing supplies, scheduling cleaning services, and ensuring that accommodations meet the needs of the artists.

· Run errands as required for the Theatre Series company and Presented Event artists.

· Assist in the preparation and execution of welcome and onboarding materials for visiting artists and stage managers, ensuring they receive necessary information and support upon arrival.

· Provide day of support for hospitality needs for Presented Events, including setting up green rooms, catering, and other amenities for performers and guests.

· Provide administrative support to the Interim Company Manager, including scheduling meetings, drafting correspondence, and maintaining accurate records and databases.

· In collaboration with the Interim Company Manager, gather, verify, and proof artist information for McCarter’s Marketing team, ensuring accuracy and timeliness.

· Collaborate on and support staff-wide wellness events, social gatherings, celebrations, and all-staff projects, contributing to a positive and inclusive workplace culture.

· Stay informed about industry trends and better practices in company management and hospitality, contributing ideas and suggestions for continuous improvement.

· Prioritize safe working practices while embodying McCarter's safety and community expectations policies to maintain a secure environment for all staff, guest artists, and other collaborators.

· Engage in the ongoing work of fostering an equitable and inclusive environment at McCarter. Actively seek ways to improve work practices to ensure greater accessibility, representation, and belonging for all, while upholding and exhibiting our stated values of "justice and joy, beauty and belonging."

Requirements

QUALIFICATIONS

· Highly collaborative and communicative, with an optimistic outlook and the ability to remain composed, professional, and discreet in fast-paced or high-pressure situations. A strong sense of professional boundaries when providing hospitality to guests is essential.

· Experience in events coordination, hospitality, company management, or administrative support, preferably within a performing arts or live events environment.

· Demonstrated ability to manage multiple priorities simultaneously, exercise sound judgment, and maintain confidentiality.

· Strong interpersonal awareness, including the ability to anticipate the needs and concerns of others and respond with empathy and clarity.

· Demonstrated proficiency using standard software and web-based applications, including Microsoft Word, Excel, Outlook, SharePoint, and Teams.

· Dedication to providing superior customer service, with a warm and welcoming demeanor that fosters a positive experience for all guest artists.

· A collaborative mindset, with the ability to work harmoniously with individuals from diverse backgrounds, personalities, and work styles, always approaching challenges with optimism, civility, and a solutions-oriented approach.

· This position requires a valid U.S. driver’s license and successful completion of a background screening, including a motor vehicle record check, prior to position start date.


PREFERRED QUALIFICATIONS

· Experience working as a stage or events manager.

· Familiarity with Tessitura and/or ArtsVision.

· Working knowledge of the AEA, SDC, USA, and LORT agreements
